Users Setup and Configuration

Learn about setting up and configuring users and understanding operational features.

To set-up and configure the Users for VivunAI, you must have a Vivun Admin permission set and have the Integration User synced. Xpert Analytics is based on the number of licenses purchased.

⚠️Important Note:

  • Vivun syncs with Salesforce every 2 hours to check for new users if you have the Vivun Integration User configured. You can run the sync manually at any time.

Licenses and Permissions

VivunAI

Each VivunAI User requires a Managed Package license and a Vivun Permission Set. Admin users can assign Vivun Managed Package licenses and Permission Sets for each user directly in Vivun Settings or in Salesforce. See Users Roles & Permissions to learn more.

  1. Login to Vivun Settings.

  2. Select Users.

  3. The list of populated users includes:

    • User - User’s full name

    • Type of Permission for Vivun
      Note: The Standard permission does not show in the user table; it is only visible on the user's profile.

      • Admin - a shield and person icon denotes Platform Admin

      • Standard

    • Type of Permission for each Vivun Module

      • PreSales Operations - Lite, Read Only, Gap, Manager, Standard, Admin

      • Product-Field Alignment - Lite, Read Only, Gap, Manager, Standard, Admin

      • Xpert Analytics - Standard

Xpert Analytics

Xpert Analytics users require either ‘Standard’ or ‘Explorer’ Xpert Analytics permission to access the module. Users do not need any other Vivun permissions or a Managed Package license.

Operational Features

The Users view provides Admins added search capability and easy license management. To use the operational features, you must be an Organization Admin, and for VivunAI also have the Integration User synced in Platform Configuration.

  • Users Table

    • Permissions - View user’s permissions for Vivun and each module they have access to.

    • User Advanced Actions:

      • Add User - Add new users.

      • Resend Invite - Sends an email invitation to the selected users.

      • Reset Password - Generates password reset email for users with username and password login configured.

      • Inactivate - Removes the user.

User Actions

Add New Users

The Users view gives Admins the ability to add net-new users to the Vivun platform. By adding a new user through Vivun Settings, Admins can assign both the Vivun managed package and permission set from one place.

  1. Login to Vivun Settings.

  2. Select Users.

  3. Click Add New User.

  4. Select how you want to add the user to Vivun.
    Email - User’s email address associated with organization in Vivun.

Salesforce Users - Fetch the users to add directly from Salesforce.
CSV Import - Bulk add users.

Important Note: Options here are based on what is configured for your org in Vivun Settings, and you must select one for the user here. For VivunAI users, we recommend selecting ‘Login with Salesforce’ as the Social Login default.

  1. Click Continue.

  2. Enter the following information:

    • For Email Address:

      • Email Address, First Name, Last Name

    • For Salesforce:

    • For CSV Import:

    • Module Access - Select the module(s) the user has a license for, and their Perm Set (Product-Field Alignment and PreSales Operations) or User Type (Xpert Analytics).
      Note: You must make a selection for all four modules. Select ‘No Access’ if the user should not have access to the module or your organization does not use it.

  3. Check Invite Imported Users if you want an email invitation generated when you save.

  4. Click Save.

Modify Users

  1. Login to Vivun Settings.

  2. Select Users.

  3. Select the user(s) to modify.

  4. Click More.

  5. Select Modify, Deactivate, Activate.

  6. Make any necessary changes.
    Note: You must make a selection for all four modules. Select ‘No Access’ if the user should not have access to the module or your organization does not use it.

  7. Click Save.

Inactivate Users

You can bulk inactivate users or inactivate them individually.

  1. Login to Vivun Settings.

  2. Select Users.

  3. Select the user(s) to deactivate.

  4. Click Deactivate.

Bulk Add Users

You can bulk add users in Vivun Settings either by CSV Import, or by email. To add in Vivun Settings with the email option:

  1. Login to Vivun Settings.

  2. Select Users.

  3. Click +Add New Users.

  4. Select Email Addresses.

  5. Each user must have the following information entered:

    • Email Address

    • First Name

    • Last Name

    • Permission Set for the Vivun Module(s) they should have access to.

  6. Click Add User+ after each user’s Email, First Name, and Last Name is entered.

  7. Set the Module Access for each Vivun Module.
    Note: The selection applies to all users added above. You may need to repeat this process multiple times if you are bulk adding users with varying module access.

  8. Optional: Check ‘Send invitation to all new users to set up their VivunID’ to generate an email when they are added.

  9. Click Save.

Bulk Edit Users

You can bulk edit users to modify their Permission Sets for each Vivun module.

  1. Login to Vivun Settings.

  2. Select Users.

  3. Click the checkbox next to the user(s) you want to modify.

  4. Click More > Modify.

  5. Select the modules and permission sets to bulk update.

  6. Click Save.

Upload Users

You can upload users to Vivun Settings with a CSV template. Download the template here or in Vivun Settings under Users > Add New Users > CSV Import > Download our CSV Template. Use the template to enter your users.

Important Note: You must have the Integration User configured in your Vivun Organization before uploading users.

  1. Login to Vivun Settings.

  2. Select Users.

  3. Click Add New Users > CSV Import.

  4. Select your CSV file.
    Note: Any errors in the file appear here, with the ability to download the errors.

  5. Click Next.

Filter Users

You can filter your user list by their status and user type for each module. The filter is applied dynamically as you make your selections. Additional filters are added with the ‘AND’ operators, so users must meet all filter criteria to appear.

  1. Login to Vivun Settings.

  2. Select Users.

  3. Click Filter.

  4. Select your filter criteria from the dropdowns:

    • Vivun Module - Select the Vivun module to filter by, followed by the module’s User Type(s):

      • VivunOne - Standard, Admin

      • Xpert Analytics - Standard, No Access

      • Product Alignment - Gap, Read, Standard, Manager Admin, No Access

      • PreSales Operations - Lite, Read, Standard, Manager, Admin, No Access

    • Status - Active or Inactive. Active status includes all users added to a Vivun module.

    • Managed Package? - Yes or No. Shows if the Managed Package is assigned to the user or not.

Sort Users

You can sort your user list ascending or descending by User, Status, or Module User Type.


Search Users

You can search for users by entering text in the Users search field. The search applies dynamically as you type.

Sync Users

To sync your users between Vivun and Salesforce, click the sync icon in the upper-right corner. You can see a timestamp of the last sync.
